Key Points at a Glance

  1. 1

The 2026 CET Senior Secondary Computer Knowledge syllabus explicitly includes MS Office knowledge of MS Word, MS Excel/spreadsheet and MS PowerPoint; this topic covers the Word and PowerPoint part of that bullet.

  2. 2

MS Word is used for page-based documents such as letters, reports, notices, applications, tables, forms and printable files.

  3. 3

In Word, text formatting changes selected characters or words; paragraph formatting changes alignment, indentation, line spacing, bullets and numbering; page setup changes margins, orientation and page size.

  4. 4

Cut moves selected content through the Clipboard, Copy duplicates it through the Clipboard, and Paste inserts the Clipboard content at the chosen place.

  5. 5

Headers, footers, page numbers, footnotes, endnotes, spelling tools, Find/Replace, mail merge, print preview and PDF export are high-yield Word functions for exam questions.

  6. 6

MS PowerPoint is used for slide-based communication with titles, text, images, shapes, tables, charts, audio, video, speaker notes and slide-show delivery.

  7. 7

A Slide Master controls common design elements across slides; layouts and placeholders decide where titles, text and objects are placed.

  8. 8

Transitions apply to slide changes, while animations apply to text or objects on a slide; good presentations use readable fonts, high contrast, consistent alignment and limited effects.

Word as a document-processing tool

MS Word is a word-processing application used to create, edit, format, save, print and share documents. For CET Senior Secondary Computer Knowledge, the exam-useful idea is simple: Word is the better choice when the final output is a page-based document. Letters, applications, reports, notices, lists, forms, certificates, question papers and office drafts are natural Word tasks. A Word document is built from characters, words, paragraphs, sections and pages. The cursor marks where new text will appear, and selected text can be edited, formatted, moved, copied or deleted.

Common file actions include New, Open, Save, Save As or Save a Copy, Print, Export and Close. A blank document is useful when the user wants to start from nothing; a template is useful when a fixed structure already exists, such as a resume, certificate or form. Save updates the working file, while Save As or Save a Copy is used when the user wants a new name, a new location or another file type. In an office example, the same notice format may be reused for several schools by saving a copy and changing only the school name, date and subject.

Remember the output test: if the task is to prepare a readable, editable and printable document, think MS Word before PowerPoint.
